1. Who we are

Memorial Scroll Trust (charity number 119648), Kent House, Rutland Gardens, London SW7 1BX (“we”, “us”, “the Trust”), cares for the Czech Memorial Scrolls entrusted to us and works to keep alive the story of the communities they came from. This policy explains what personal information we collect through memorialscrollstrust.org, why we collect it, and what your rights are.

2. Information we collect

  • Contact form: first name, last name, email address, phone number, the subject of your enquiry, and any message you send us.
  • Newsletter sign-up: name and email address.
  • Donations: name, contact details, and payment information.
  • Gift Aid: if you complete a Gift Aid declaration, your name, address and taxpayer status.
  • Cookies and website usage data, covered in full in our separate Cookie Policy.
  • Any email, letter or phone call you send us directly.

3. How we use your information

  • To respond to enquiries made through the contact form or by email or phone.

  • To process and acknowledge donations, including Gift Aid claims where applicable.
  • To administer museum visits, talks and events.
  • To understand how the website is used, so we can improve it.
  • To meet our legal and regulatory obligations as a registered charity.

4. Our legal basis for using your information

Under UK GDPR, we rely on:

  • Consent — for the newsletter and for non-essential cookies. You can withdraw this at any time.
  • Legitimate interests — for responding to enquiries and improving the website, balanced against your rights.
  • Legal obligation — for records we must keep as a registered charity, such as Gift Aid and donation records.

5. Who we share your information with

We do not sell or rent your personal information. We share it only where needed, with:

  • Our website hosting and IT support providers.
  • Our email or newsletter platform Brevo.
  • Our donation and payment processor.
  • HM Revenue & Customs, where required for Gift Aid.
  • Any other party where we are required to by law.

Our shop is run separately at mstshop.org. Purchases made there are covered by that site’s own privacy policy, not this one.

6. Where your information is stored

Your information is stored in the United Kingdom and the European Economic Area. If any of the providers above store or process data outside the UK or EEA, we make sure appropriate legal safeguards are in place.

7. How long we keep your information

  • Enquiry and contact form details: kept only as long as needed to deal with your enquiry.
  • Donation and Gift Aid records: kept for as long as HMRC requires, currently six years.
  • Newsletter details: kept until you unsubscribe.

8. Your rights

Under UK data protection law, you have the right to:

  • Ask what personal information we hold about you and get a copy of it.
  • Ask us to correct information that is wrong or incomplete.
  • Ask us to delete your information, in some circumstances.
  • Ask us to restrict how we use your information.
  • Object to how we use your information.
  • Ask for your information to be moved to another organisation.

To use any of these rights, email us at info@memorialscrollstrust.org or write to us at the address above.

9. Keeping your information secure

We use appropriate technical and organisational measures to protect the personal information we hold, and we only give access to it to people who need it to do their job.

10. Children

This website is not aimed at children, and we do not knowingly collect personal information from children.
